How to choose the best school management software in the Philippines
What a Philippine private school should expect from a school management system in 2026, the questions to ask in every demo, and where SchoolAide Pro fits.
We make SchoolAide Pro, so read this knowing that. But the requirements below are the ones we would hold any system to, ours included, and every question in it is one you can put to any vendor in a demo.
The short answer
The best school management software for a Philippine private school is the one that does the Philippine parts without workarounds. Every system can store a student list. The best one for your school also:
- produces DepEd school forms, the SF9 and the SF10 straight from its own gradebook;
- handles ESC grants, senior high vouchers, discounts and payment plans when it bills;
- issues official receipts in your own numbering, and keeps books the BIR will accept;
- keeps one record for each learner from application to alumni;
- protects that record the way the Data Privacy Act of 2012 asks;
- lets you start with one office, not all of them at once.
The rest of this guide is how to check each of those before you sign.
Your four options
Most schools are choosing between four kinds of setup. None is wrong for every school, but they fail in different ways.
| Requirement | Spreadsheets and DepEd templates | A separate tool for each office | An international system, adapted | A system built for Philippine schools |
|---|---|---|---|---|
| DepEd school forms | Filled in by hand, form by form | Only if the grading tool does them | Usually needs customising | Generated from the gradebook |
| ESC and vouchers | Tracked in a separate sheet | Depends on the billing tool | Usually custom work | Applied when the learner is billed |
| Receipts and books | A separate accounting system | Depends on the billing tool | Often needs a local accounting add-on | Official receipts and BIR-style books built in |
| One record per learner | No: copied from file to file | No: each tool keeps its own list | Yes | Yes |
| The main risk | Errors, and the one person who understands the file | The same data typed into every tool | Paying to bend it to DepEd and the BIR | The vendor's track record and support |
A spreadsheet is a fine place to start and a hard place to stay. The moment two offices need the same learner's data, someone starts copying it, and the copies drift.
The systems schools in the Philippines usually compare
Search for the best school management software in the Philippines and the same names come up. Here is what each is, in its own words or by where it comes from. Put any of them through the checklist below; none of these descriptions is a test result.
- SchoolAide Pro (ours): a school management system built for Philippine private schools, with 21 apps, one for each office, from admissions and billing to the clinic and payroll.
- HashMicro: an ERP vendor whose school edition bundles student records with accounting, and which describes its accounting as BIR-compliant.
- RexoCampus: describes itself as DepEd- and CHED-compliant, with workflows for DepEd schools, CHED colleges and TESDA centers.
- Camu: describes itself as built for CHED and PAASCU standards, aimed at colleges and multi-campus institutions.
- Edusuite: a Manila-based all-in-one system for K-12 schools and colleges.
- PowerSchool, Veracross, Gradelink and Fedena: international student information systems used by schools in many countries.
The difference that matters is not the length of the feature list. It is whether DepEd forms, ESC and vouchers, BIR-style books and peso payments are built in, or left for your school to configure.
What the best system does for a Philippine school
Eight requirements, each with what to ask any vendor and how SchoolAide Pro answers it.
1. DepEd forms come out of the gradebook
If teachers encode grades in one place and the registrar retypes them onto forms in another, every report card season doubles the work and the errors.
Ask any vendorShow me an SF9, an SF10 and an SF5 generated from grades already in the system. What happens to them when a grade is corrected?
In SchoolAide ProGrading computes grades under your grading policy and the DepEd transmutation rules, then produces report cards, transcripts and the DepEd school forms from the same gradebook, with the LRN and senior high strands built in.
2. Enrollment knows about ESC, vouchers and payment plans
Government subsidies change what each family owes. A system that cannot apply them makes your cashier do it by hand at the window.
Ask any vendorHow do ESC grants, SHS vouchers, scholarships and sibling discounts reach a family's statement of account? Can families choose a payment plan themselves?
In SchoolAide ProEnrollment and Billing & Assessment define ESC grants, SHS vouchers, scholarships and discounts with slot counts, and families choose a payment plan when they enroll. Families in covered grades acknowledge the school's subsidy notice, and the wording they saw is kept.
3. Billing and books fit the BIR
Collections are where a school's software is audited for real. Receipts and books have to hold up.
Ask any vendorDo official receipts carry our own receipt numbering? Can the system print the statutory books, or only export a list of payments?
In SchoolAide ProBilling & Assessment issues official receipts in your school's own series and keeps the general journal, cash receipts, cash disbursements, sales and purchase journals, printed in the layout the BIR expects. It can also run beside the accounting system you already use, as the ledger of what families owe.
4. Families can pay the way they already pay
Parents pay with GCash, Maya and QR Ph. If they cannot, they queue at the cashier, and the cashier reconciles by hand.
Ask any vendorWhich payment channels can families use, and whose merchant account receives the money? How are online payments matched to the right statement?
In SchoolAide ProDocument Requests takes card, GCash, Maya, GrabPay and QR Ph through your school's own merchant account, with daily reconciliation. Families top up SchoolAide Mobile wallets with GCash, QR Ph or a card, and see the fee before they pay.
5. One record for each learner, from applicant to alumnus
The admissions desk, the registrar, the cashier, the clinic and the guidance office all need the same learner. The best system keeps one record and shows each office its part of it.
Ask any vendorWhen an applicant is accepted, what does the registrar have to type again? When a learner transfers out, how is the Form 137 request tracked?
In SchoolAide ProAn accepted applicant moves straight into Enrollment, the LRN is checked for duplicates, and Form 137 requests to a transferee's previous school are tracked until they arrive. Alumni request transcripts online later, and employers verify them on a public page.
6. Learner data is protected the way the law asks
Under the Data Privacy Act of 2012, your school stays responsible for learner data even when software holds it. Our data privacy checklist covers this in full.
Ask any vendorIs our data kept apart from other schools' data? Who at your company can see it? Is every change recorded? Are you registered with the National Privacy Commission?
In SchoolAide ProEach school's records live in their own isolated space, on their own domain. Roles decide who can view, edit, approve or release; every change is on an audit trail; and the platform apps sign people in with two-factor sign-in and passkeys. Rakso Ed is registered with the National Privacy Commission.
7. You can start with one office
Switching every office in the same month is how a school ends up running two systems at once. The best system lets you start where it hurts most.
Ask any vendorCan we start with admissions and billing only, and add grading next school year? Do we pay for apps we have not switched on?
In SchoolAide ProEach office's app is its own product. Start with the offices that need it most and add the rest when you are ready; the Portal only ever shows each person the apps your school has given them.
8. HR and payroll know Philippine rules
A school is also an employer. Payroll that does not know the contribution tables is payroll someone redoes in a spreadsheet.
Ask any vendorAre SSS, PhilHealth and Pag-IBIG contributions and BIR withholding computed for us? Does it tell teaching and non-teaching staff apart?
In SchoolAide ProHRIS computes payroll with SSS, PhilHealth, Pag-IBIG and BIR withholding tax, carries the statutory leave types, and treats faculty and non-teaching personnel differently for leave, holidays and approvals.
Questions to ask in every demo
A demo shows what a vendor chose to show. These questions show the rest.
- Use our data: can you load a sample of our fee structure and one section's grades before the demo?
- Show a full enrollment, from application to official receipt, without leaving the system.
- Correct a released grade. Who has to approve it, and where is the change recorded?
- Print an SF9 and an SF10 for the same learner.
- Apply an ESC grant to a learner who has already been billed.
- What can a parent do from their phone, and what still needs a trip to school?
- How do we get our existing records in, and who does the work?
- What happens to our data if we leave? In what format do we get it back?
- Who answers when the cashier's window is stuck on enrollment day?
- Which schools like ours use it, and may we call one?
Red flags
- "It exports to Excel" as the answer to DepEd forms. An export you finish by hand is still a form you fill in by hand.
- No answer about leaving. If a vendor cannot tell you how you get your data back, assume you cannot.
- Every office at once. A plan that switches every office on the same date has no fallback.
- One shared admin login. If everyone signs in as the same user, nobody can tell who changed a grade.
- Payments into the vendor's account. Collections should land in your school's own merchant account.
What it costs, and what drives the price
Few school systems publish one price, because the work differs from school to school. What moves the number:
- Which offices you start with. Admissions and billing alone cost less to set up than every office.
- Setup and data migration. Fee structures, grading policies and existing records have to come across.
- Training. Each office needs its own walkthrough, at the time of year it can spare people.
- Payment fees. Online payment providers charge per transaction. Ask who pays them: the school or the family.
Compare the cost of a system with what the current setup costs in staff hours at enrollment, at report card time and at month-end, not with zero.
SchoolAide Pro is priced per school, after a walkthrough of the offices you want to start with.
Switching without stopping the school year
- Pick the office that hurts most. For most schools that is enrollment and billing, because enrollment season is when the queues are longest.
- Switch before the busy season, not during it. Go live a few weeks before enrollment opens, with time for a practice run.
- Move grading at a term boundary. Never in the middle of a grading period.
- Add families last. Once your own records are right, give parents the app.
Where SchoolAide Pro fits
SchoolAide Pro is a school management system built for Philippine private schools: 21 apps, one for each office, with 179 modules and 1,563 features between them, each listed in the SchoolAide catalogue. It covers admissions, enrollment, document requests, grading, evaluation, billing and accounting, a cashless campus with RFID gate attendance, guidance, discipline, the clinic, health, the library, book ordering, HR and payroll, and clearance. Families use it through SchoolAide Mobile.
It is not the right start for everyone. If you are a teacher who needs DepEd grades and report cards for your own classes, SchoolAide Lite is the better place to begin, and it is free for the first 15 teachers at every school.
Questions schools ask
What is a school management system?
Software that runs a school's offices on one set of records: admissions, enrollment, grading, billing and collections, HR and payroll, and the student services such as the clinic, guidance and the library. The best ones give every office its own tools while keeping one record for each learner, family and employee.
Is there free school management software in the Philippines?
There are free tools for single jobs, and spreadsheets cost nothing to start. For grading, SchoolAide Lite is free for the first 15 teachers at every school. A complete system for every office is usually priced per school, because it comes with setup, data migration, training and support.
Can a school management system produce DepEd school forms?
A system built for Philippine schools should. Ask to see SF1, SF2, SF5, SF9 and SF10 generated from the system's own records during the demo, not exported to a spreadsheet and finished by hand.
How long does it take to switch?
It depends on how many offices start at once and how clean your current records are. Most of the risk is in timing: plan the switch around enrollment season and the end of a grading period, and start with the offices that need it most rather than all of them at once.
